People put off switching providers because they remember the last migration. The half week of downtime. The missing folder that turned out to be three years of accounting. The client who bounced a critical invoice because the MX records were not propagating.
It does not have to be that. A well done migration is calm, reversible, and quietly finished before your team notices. Here is what that looks like.
Before Anything Moves
A proper migration starts with a plan. Not a ten page document, just a clear view of what will happen in what order. Which mailboxes. Which DNS records. Which domains. Which forwards. Which aliases. Which calendars, if calendars are in scope. Which cutover time works for your team.
You should get that plan in writing before anyone touches a setting. You should have a chance to ask questions about it. You should know what we are doing to the old system and what we are not doing, and why.
During The Move
Email is copied in parallel, not in serial. Your old mailbox stays live while we copy its contents to the new one. At cutover, we flip the MX records, and any mail that arrives during the propagation window lands in the new mailbox without being lost. Old clients get gently nudged to reconnect. Folder structures are preserved. Rules and filters, where the old system exposes them, come across.
We do this during a window you pick. If you run UK office hours, we do not cut over at one in the afternoon on a Tuesday. That is not being helpful, that is causing a fire drill.
After The Move
For forty eight hours we watch the mail flow carefully. If something looks off, we fix it before you see a ticket. We check that DKIM, SPF and DMARC are lined up correctly so that your mail keeps being trusted by the services on the receiving end. We check that the old forwards still work during the grace period, so stragglers do not get lost.
Then we stop watching and you get back to running your business. That is what a good migration feels like.
